Who we are

The Colorado Academy of Anesthesiologist Assistants (COAAA) is a Colorado nonprofit corporation that represents Certified Anesthesiologist Assistants in Colorado. This policy explains what information we collect through coloradoaaa.org, how we use it, and the choices you have. Questions about it can go to coloradoaaa@gmail.com.

What we collect

We collect only what you choose to give us:

• Membership applications and renewals: your name, contact details, membership level, and the professional details the application asks for.
• Payments and donations: your name, contact details and the amount. Card details are entered into and processed by WildApricot Payments, which is run by AffiniPay. COAAA does not receive or store your full card number.
• Officer nominations: the details entered on the nomination form, which is hosted by Jotform.
• Emails you send us: for example questions, scholarship applications or shadowing requests.

When you visit the site, our website platform also records basic technical information needed to run it, such as whether you are signed in.

How we use it

• To manage your membership, collect dues and send receipts
• To run officer elections and the student scholarship
• To reply to your messages
• To send Academy news and notices by email

We do not send text messages. We do not sell, rent or trade your information.

Who can see it

Your information is visible only to COAAA's officers and administrators, who use it for Academy business. There is no member directory on the site, so other members cannot see your details. The names and professional affiliations of our officers are published on the Officers page as part of their role.

We share information only with the service providers that run the site and its forms, listed below, or when the law requires it.

Service providers

• Wild Apricot hosts our website and membership records.
• WildApricot Payments (AffiniPay) processes card payments and donations.
• Jotform hosts the officer nomination form.
• Google provides our email and the fonts used on the site.
• YouTube provides the video on our home page.

Each of these providers handles information under its own privacy policy.

Cookies

The site uses the cookies our website platform needs to work, for example to keep you signed in. We do not use analytics or advertising cookies. If you play the video on our home page, YouTube may set its own cookies.

Your choices

• Signed-in members can review and update their details on the My Profile page.
• You can unsubscribe from Academy emails using the link in any email.
• To ask us to correct or delete your information, email coloradoaaa@gmail.com. We may need to keep some records, such as payment records, where the law or our bylaws require it.

How long we keep it

We keep membership and payment records for as long as you are a member and for as long afterward as we need them for the Academy's financial and legal records.

Security

The site is served over a secure, encrypted connection, and our membership records are held by Wild Apricot rather than on personal computers. No system is perfectly secure, but we limit access to the people who need it.

Children

This site is meant for adults. We do not knowingly collect information from children under 13.

Changes to this policy

If we change this policy, we will post the new version here with a new date.
